Main Responsibilities
We are seeking a highly driven and detail-oriented Warehouse Operations Supervisor – CORE to support the
efficient operation of our Distribution Centre (DC). As the 2IC (Second-in-Command) to the Facility/DC
Manager, you will play a critical role in daily logistics, HSSE compliance, driver and staff supervision, and
operational planning.
– Act as the 2IC for the Facility/DC Manager and step in during their absence.
– Oversee outbound logistics, including trucks, drivers, and delivery scheduling.
– Coordinate daily oil deliveries and collections (customers and depots).
– Update and confirm the daily delivery sheet and ensure all related invoices are received and processed.
– Brief and debrief drivers daily and handle telephonic customer queries.
– Compile and submit weekly delivery reports.
– Supervise warehouse staff on HSSE protocols and disciplinary matters.
– Track vehicle movement and maintain regular contact with drivers.
– Monitor stock availability, create P/O’s, TAN’s and liaise with suppliers and clients.
– Arrange internal stock transfers, forklift/truck maintenance, and facility repairs.
– Manage staff leave approvals, medical arrangements, and in-house diesel orders.
– Serve as the Depot First Aider and oversee HSSE compliance and documentation.
– Conduct daily safety inspections (yard and warehouse).
– Ensure monthly depot and office safety inspections are completed and data captured in SharePoint.
– Organize quarterly and biannual safety procedures, including:
– PPE and electrical inspections
– Panic button, keys, and security system checks
– Safety rep meetings and evacuation drills
– Act as Incident Investigator when necessary and liaise with the security company on safety matters.
– Maintain and update the PPE register monthly.
– Communicate stock-outs and delays to clients.
– Identify open or damaged products through daily warehouse walkthroughs.
– Report truck maintenance issues to the Facility/Workshop Manager promptly.
– Ability to handle and resolve supplier queries, following up on outstanding invoices and ensuring timely resolution.
– Experience in maintaining accurate and organized records of creditor accounts, invoices, and payments.
Skills
– Proven experience in warehouse/logistics operations and team supervision.
– Strong understanding of HSSE protocols and compliance.
– Excellent communication and problem-solving abilities.
– Proficient in Microsoft Office, SharePoint, and logistics/supply chain software (Astron, Shell, Total systems experience advantageous).
– Ability to work independently, multitask, and remain calm under pressure.
